Covid-19 Policies & Procedures
First and foremost, our focus is on the health & safety of our team members, clients, and venue & hospitality partners. As the entire meetings & events industry begins its journey down the road of recovering from the COVID-19 pandemic, we should all be cautious, but we should also be intent on making strides forward in our recovery efforts. Our goal, as echoed through the entire industry, is to make the meetings & events industry once again vibrant and healthy.
With this in mind, ABSOLUTE Event Services is committed to providing a safe & healthy work environment for all of its team members, visiting clients, and industry partners. To ensure we have a safe and healthy workplace, we have developed the following COVID-19 Preparedness Plan in response to the COVID-19 pandemic. Our goal is to mitigate the potential for transmission of COVID-19 in our workplace and communities, which requires the full cooperation of our team members, visiting clients, and partners. Through this cooperative effort we can establish and maintain the safety and health of everyone.
Our COVID-19 Preparedness Plan follows Centers for Disease Control and Prevention (CDC) and addresses the following:
- Hygiene and respiratory etiquette
- Social Distancing
- Cleaning, disinfecting, and decontamination
- Protection and controls for pick-up, drop-off, delivery & setup
Hygiene: Wash your hands
Basic infection prevention measures are being implemented at our workplaces at all times. Workers are instructed to wash their hands for at least 20 seconds with soap and water frequently throughout the day, but especially at the beginning and end of their shift, prior to any mealtimes and after using the toilet. All visitors will be required to wash or sanitize their hands prior to or immediately upon entering the facility. Hand-sanitizer dispensers are at entrances and locations in the workplace so they can be used for hand hygiene in place of soap and water, as long as hands are not visibly soiled.
Respiratory Etiquette:
Team members and visitors are being instructed to cover their mouth and nose with their sleeve or a tissue when coughing or sneezing and to avoid touching their face, in particular their mouth, nose and eyes, with their hands. They should dispose of tissues in provided trash receptacles and wash or sanitize their hands immediately afterward. Respiratory etiquette will be supported by making tissues and trash receptacles available to all team members & visitors. Team members are highly encouraged to wear a protective face mask while any other person is in the building at the same time. Our clients & visitors are also highly encouraged to put on a protective face mask prior to entering the building.
Social Distancing:
Social distancing of six feet will be implemented and maintained between team members, clients and visitors in the workplace and at all event venues.
Cleaning, disinfecting and decontamination:
Routine and rigorous cleaning practices are being implemented, including routine cleaning and disinfecting of work surfaces, equipment, tools and machinery, delivery vehicles and areas in the work environment, including restrooms, break rooms, lunch rooms, meeting rooms, checkout stations, fitting rooms, and drop-off and pickup locations. Frequent cleaning and disinfecting will be conducted in high-touch areas, such as phones, keyboards, touch screens, controls, door handles, copy machines, credit card readers, delivery vehicles, items being delivered, etc. Please note that some of our equipment is considered to be highly sensitive electronics and therefore may receive a thorough UV Light treatment in lieu of using liquid solvents. Appropriate and effective cleaning and disinfectant supplies have been purchased and are available for use in accordance with product labels, safety data sheets and manufacturer specifications and are being used with required personal protective equipment for the product. The maximum amount of fresh air is being brought into the workplace, air recirculation is being limited and ventilation systems are being properly used and maintained. Steps are also being taken to minimize air flow blowing across people.
Protections and controls for pick-up, drop-off, delivery & setup:
All delivery vehicles: will be routinely cleaned & disinfected daily, using appropriate disinfectant cleaning supplies. This includes all touchpoints of the delivery vehicle including both interior and exterior. After a delivery vehicle has been utilized to transport previously rented equipment (that has not been through the enhanced cleaning procedure), the vehicle will immediately be cleaned & disinfected, upon the rental equipment being offloaded.
Delivery & setup personnel: will verify that the equipment being loaded into the delivery vehicle has been through the enhanced cleaning procedure and has been appropriately tagged as such. Our delivery & setup personnel will use PPE (personal protective equipment) during
the entire process of delivery & setup of all contracted equipment. These team members will also practice social distancing at all times.
Technicians: that have been contracted to provide support throughout the entire contracted event will be required to wear PPE (personal protective equipment) at all times, and follow social distancing of at least 6 feet. Appropriate floor markings will be visible, to assist our team
members in maintaining the minimum of 6 feet for Social Distancing practices. Technicians will also have disposable disinfectant wipes, masks, and hand sanitizer while onsite at the venue.
Rental Equipment: All rental equipment will go through enhanced cleaning procedures, to help stop the spread of germs. Although all equipment is deemed important for the cleaning & sanitization process, particular attention will be paid to high-touch items such as microphones, keyboards, mouse, wireless presenters, and writing utensils.
At the conclusion of each rental: our team members will collect the equipment using the same PPE measures, and transport the rental equipment back to our offices where it will then go through the enhanced cleaning process. Once our team members have performed the
enhanced cleaning process they will then tag all equipment that has been through this cleaning process, to mitigate any possibility of uncleaned equipment leaving our location.
